Personal Assistant to Finance Director and Office Manager to the Finance Department
We are looking for a Personal Assistant to the Finance Director and Office Manager to join our Finance Office at the House of Lords. This role is being offered on a part-time basis of between 29-25 hours per week - exact hours can be discussed with shortlisted candidates.
This is a varied role where you will be responsible for providing administrative support to the Finance Director and Finance Office - which may include diary management, organising departmental events, preparing meeting papers or minute-taking.
This is an opportunity to work on-site at Parliament with 1 day a week working from home, dependent on business need. This is an exciting position for someone who enjoys working in a fast-paced environment and working with a range of stakeholders and colleagues. The successful candidate will have a significant experience in supporting a senior leader or as a personal assistant with the ability to manage issues and make decisions within their role to ensure a quality service.
You'll be accountable for -
- Effective diary management including, co-ordination, prioritisation and liaising with senior stakeholders' offices.
- Preparation of meeting papers including compiling papers into a single organised printed or digital pack and circulating with required attendees in advance of meeting.
- Support inbox management including categorising, triaging and filing.
- Quarterly reporting of key metrics
- Management of gifts and hospitality register
- Departmental events planning and organisation, including research and on-the-day event management.
What we're looking for
- Significant experience supporting a senior leader in a personal assistance capacity. Proficient use of digital tools including Microsoft Office packages
- Proactively taking responsibility for making decisions within delegated scope considering their impact and priority.
- Clear and concise oral and written communication, including the ability to respond constructively to challenging conversations
- Plan, organise and manage you own time effectively to deliver a high-quality service to the Finance Director, including identification of potential issues and providing solutions to mitigate
- Deliver high quality and accurate work under pressure by agreed deadlines, including identification of administration process improvements.
- Ability to build effective and supportive working relationships across all levels of the organisation.
