Personal Assistant to the Managing Director

*Job Purpose*: To save the Managing Director (MD) time by ensuring he has the right things at the right time, and to perform ad-hoc tasks as required.
*Key Result Areas (KRAs): *
* On-time provision of HR & payroll services including overseas staff
* Assist MD with day-to-day admin (inc. managing MD’s diary, producing monthly briefings & managing minutes)
* Monitor statutory and internal tasks ensuring plenty of notice to hit deadlines – Monthly mandatory tasks
* Assist MD with completion of various project tasks
* IT support management (delivered through 3rd party)
* Effectively manage 3rd party partners (e.g. 3C, banks, legal, financial, employee benefits insurance consultants) ensuring they integrate fully to provide suitable support functions
*Principle Accountabilities:*
* To maintain company and personal information in a confidential manner
* Maintain Managing Director’s diary & set up meetings etc
* Manage the payroll system & employee benefits
* Employees contracts, letters etc.
* Prepare Quarterly VAT figures.
* Create monthly briefing in Powerpoint
* Work closely with the Accounts Assistant to manage on-line payments
* Managing Director’s monthly admin inc credit card bills & expenses
* Organise quarterly Management meetings (inc. taking minutes)
* Prepare paperwork for Board meetings
* Update company forms e.g. expenses form (spreadsheet) to ensure that it has the up-to-date HMRC mileage rates
* Set up PCs and phones for new employees
* Manage company IT issues through 3rd party subcontractors
* Manage confidential paperwork applicable to shareholders and Directors
* Run multiple “Projects” as required from time to time
*Types of "Projects": *
* Sourcing a foreign solicitor help employ a “local salesman” using foreign employment law.
* Implementing a security scheme across our IT network
* Creating a new automated PowerPoint company presentation
The skills required for these are broad & varied & would suit someone with good attention to detail, an enquiring but logical mind, someone happy to work with numbers yet possessing a creative side as well.

*Qualifications:*
Minimum 5 x GCSEs, grades A-C, (or international equivalent qualifications)
*Experience: Minimum requirement: *
* Administrative skills
* Working with confidential information
* MS office to intermediate level
* Organising & planning other people’s workloads
*Experience: Desirable requirement:*
* Ability to learn new software packages
* Above average understanding of IT
* Assisting with legal tasks
