The East West Entertainment Group is seeking a passionate and resourceful Assistant Music Director to play a vital role in supporting the Musical Director and Product Team with the daily operation, planning, and artistic management of our live music program for a luxury client. This role serves as a key contact for musicians and DJs, ensuring all musical content, charts, tracks, and set lists are accurately prepared, organised, and executed. The Assistant Music Director also supports rehearsal planning and new group installations, ensuring program excellence across all stages of the entertainment cycle through direct contact with musicians.
KEY RESPONSIBILITIES
- Musician, Vocalist, & DJ Coordination
- Act as the primary liaison for all musicians and DJs, supporting day-to-day communications for musical needs
- Provide guidance, updates, and support, to ensure artists remain aligned with music programming objectives and artistic direction
- Music material preparation & Set list management
- Gather set lists from all musicians ensuring they are properly formatted and submitted on time in EWEG format
- Maintain an organised archive of set lists and show files, creating and updating set list matrices to track rotation, audience scores, and musician movements
- Oversee the administration of set list content, ensuring appropriate labels, artist names, and alignment with programming requirements
- Prepare and distribute accurate charts and backing tracks, maintaining consistent version control and accessibility
- Support custom track development and musical edits in collaboration with the Musical Director
- Ensure that set folders with all relevant rehearsal materials are sent out to bands at least 8 weeks prior to rehearsals
- Follow up with all musicians at the 4-week and 2-week pre rehearsal marks to confirm they have everything they need musically for rehearsal and are preparing accordingly
Setlist & Rehearsal Oversight
- Collaborate with the Musical Director and Product Delivery Manager to refine and rotate set lists to reflect guest demographics, voyage needs, and artist strength
- Create and manage daily rehearsal schedules, aligning musical needs with group requirements, venue availability, and production coordination
- Attend and support rehearsals (central London based), providing musical guidance and feedback when requested
- Record performance and rehearsal footage, upload to the EWEG channel, and circulate for feedback to the senior management team
Musician Installations on Luxury Yachts- Following the completion of rehearsals, the AMD will conduct international installations and will be responsible for ensuring a smooth and professional placement of musicians onboard vessel
- Liaise with shipboard management, entertainment leadership, and operations teams to coordinate the arrival and handover of musician
- Ensure all artists are properly briefed on shipboard protocols, schedules, and venue procedure
- Confirm that each act’s set list, backing tracks, charts, and equipment requirements are in place and functioning within onboard system
- Facilitate final sound checks, spacing rehearsals, and venue walkthroughs in collaboration with production and AV team
- Ensure performers understand and meet the stylistic, aesthetic, and behavioral expectations consistent with the East West Entertainment brand and guest experience standards of our client
- Be present on-site during critical phases of the installation to support technical teams with sound and light management
- Address any issues related to performance flow, artist needs, or musical programming adjustment
- Maintain detailed installation notes, including performance adjustments, technical needs, and early feedback
- Share show recordings findings with the Product Team and Management on a daily basis to support consistency and continuous improvement across voyage
Musician Management- Review recorded sets to assess performance quality and confirm that all musicians are maintaining the expected level discussing findings with Product and Music team
- A weekly report should be sent to both the Musical Director and Head of Product Delivery , summarising each band's status, any concerns, and any action points needed
Skills & Qualifications- Strong musical literacy and understanding of performance strucure
- A highly skilled instrumental performer
- Proven experience in music direction, performance coordination, or rehearsal management
- Excellent communication and interpersonal skills with diverse international talent
- Detail-oriented and highly organised, with experience managing digital music libraries and set list documentation
- Familiarity with DAWs, track playback systems, and digital sheet music tools
- Proficient in Excel or Airtable for managing set list matrices and tracking content rotation
WHO YOU ARE:- A musically fluent leader who can balance artistic vision with practical execution
- A good working knowledge of a primary and second instrument - piano, guitar, bass (electric/double) or drums/percussion
- Experienced in luxury entertainment settings such as high-end hospitality, theatre, or cruise environments
- Skilled at working independently while contributing to a collaborative and fast-paced team
- Passionate about delivering elevated guest experiences through curated musical excellence
- Ideally London area based due to rehearsals
- Available to travel internationally as and when required without restrictiontions
