Executive Assistant to the Managing Director MH UK & Ireland, Maternity Cover. The Executive Assistant is the operational arm of the Managing Director, driving a frictionless organisation, facilitation, and communication. The Executive Assistant supports and represents the Managing Director and the Leadership Team, sharing values and winning behaviours. The Executive Assistant is a key player in building the brand and the culture of team MHUK.

Job Responsibilities

  • Provide high-level administrative support to the Managing Director and ad hoc support to other members of the Leadership Team (6 people in total).
  • Proactively manage the Managing Director’s diary, schedule, arrange all travels, expenses and ad hoc requirements.
  • Organise and manage all meetings, conferences, and occasions led by the Managing Director of MoëtHennessy UK.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Act as gatekeeper for the Managing Director’s office to best represent the Company and ensure smooth running of the Management function.
  • Prepare correspondence, presentations, and assist with the compilation of various reports.
  • Serve as the first point of contact for the Managing Director.
  • Provide general administration.
  • Arrange all Leadership Team meetings and Away Days.
  • Conduct regular stock takes of wine and spirit inventory, maintaining accurate records and flagging any discrepancies or replenishment needs.
  • Liaise with LVMH UK Fashion Press offices to ensure seamless styling arrangements for the MD at key events, anticipating potential needs and coordinating logistics.

Company Ambassador

  • Act as a gatekeeper to the MD and key contact to all MH entities and other LVMH divisions.
  • Build, manage, and rely on an extensive network of internal and external contacts.
  • Be sensitive to the luxury industry, the product, and the people.
  • Proactively generate innovative and creative ideas for team building and internal engagement.
  • Possibility to work closely on external events with Marketing/PR departments when needed.

Events Management

  • Proactively support the Managing Director in business agenda planning, annual planning (team/business), and stakeholder management delivering at pace.
  • Arrange meetings and schedule agendas for the Managing Director.
  • Manage MH UK team life: Monthly Employee Birthday Breakfast, Team Rituals, Company BusinessBreakfast, Summer Drinks, Christmas party, Company Conference, Away Days.
  • Arrange Leadership Team meetings and Away Days while supporting the Leadership Management Meetings as required by the Managing Director.
  • Arrange MD-sponsored events (e.g., Moët Hennessy global events with UK attendees, Goodwood, VIP trade visits to the Champagne region, major Wines & Spirits Trade Association occasions, VIP events, charity events).
  • Coordinate Market visits of VIPs, Business reviews with Maisons.
  • Actively involve in understanding business direction to translate the Managing Director\'s key messages.
  • Track the General Management budget.

Profile

  • 10+ years of experience in a similar role supporting a Senior Executive.
  • Commercial and financial understanding.
  • Previous experience in a multinational and multicultural environment.

Languages

  • Fluent in English; French is a strong advantage
