We are recruiting for a Personal Assistant for our Director of Innovation and Technology who would be based at our Biggin Hill office. Do you have what it takes to be part of the world’s greatest sport and entertainment spectacle?Main Duties & Responsibilities:Provide high level executive business and administrative support to the Director, cascading across all day-to-day dutiesCultivate and strengthen relationships with stakeholders (internal/ external), using expert levels of communicationStrategic multi-tasking and impeccable organisation skillsManaging projects, create and maintain status tracking reports, ensuring all deadlines are met and follow-up with contributors (internal/ external) as requiredPreparation of PowerPoint presentations, word documents and agendas with high attention to detailPerform meeting research, planning, and preparation, including minute taking and distributionOrganise and ensure the Director is well prepared for meetings, always looking aheadMeticulous diary management working across several different time zonesScreen enquiries and requests and responding within a timely mannerMaintain the highest standards with regard to respect, integrity and ironclad confidentiality and discretionAdminister, coordinate, and submit monthly expense claim forms and credit card paperworkCoordinate travel arrangements with the Travel department; to include visa applications and checking itinerariesSupport with the department budget preparationAbility to solve simple IT issues and contact the IT department where necessary.Ability to respond out of hours on occasion when the Director is travellingSpecification Essentials:Minimum of 5 years’ experience supporting a Director or C suite individualExposure to high profile business individualsExperience in senior stakeholder managementExperience of working within a dynamic and ever-changing environmentExperience working for a high-profile companyKnowledge of Formula OneExcellent written and oral English language skillsStrong level of accuracy and attention to detailAdvanced MS Office skillsAbility to effectively interact and communicate with a wide range of people and personalities, (internal and external)Ability to work under time constraints and pressure with constant change in priorities all the while remaining calmAbility to work unsupervised and to efficiently manage and prioritise your own workload whilst maintaining deadlinesMinute takingWhy join the force behind the sport?Joining F1 means becoming part of a team that values innovation, collaboration and personal growth.
