OverviewPA to Managing Director, Finance & Central Services – Biggleswade. A vacancy in our Finance and Administration department for a Personal Assistant to the Managing Director, Finance & Central Services. The role provides full secretarial duties for the Manager/Director and supports company values while ensuring outstanding customer service and alignment with the company’s key result areas: Business Performance, Customer Focus, People and Teamwork, Leadership.ResponsibilitiesProviding full secretarial and administration duties to the Managing Director/ Company Secretary covering several companies and a wide portfolio.Arranging, attending and taking notes during monthly board meetings and four monthly Senior Management meetings. Sharing resulting action points with relevant parties. Chasing and collecting pre-board and pre-management reports in a timely manner ready for the next meeting.Providing secretarial support and administering and controlling various board and corporate projects and events as requested.Where the role requires the use of company credit cards and other payment methods, maintaining the process for approvals, expenditure and reconciliation in line with company signatory rules.Effectively supporting the Manager/Director with correspondence, diary planning and travel arrangements for some of the direct reports.Ensuring compliance to company, Quality, Health & Safety and Environmental policies.In the capacity of Personal Assistant, supporting other Personal Assistant roles within the business as and when required.Supporting intercompany communication across a number of business matters.With profitability in mind, negotiating contracts and partnerships with third party providers including but not limited to car hire, hotels and travel companies. Manage access and function of the related portals for the business.Monitoring and maintaining various group insurance policy renewals and invoices. Sharing policy certificates as appropriate. Communicating with provider and group contacts.Maintaining internal statutory records as well as board resolutions and banking mandates for several companies in line with Group requirements.Monitoring and maintaining building investment/property portfolio including leases, rental and licences.Using initiative to identify appropriate actions and solutions to numerous internal enquiries to optimise the availability of the Managing Director for other matters.Delivering exceptional levels of customer service to internal and external clients and service providers, with the aim of strengthening partnerships.Maintaining a reputation of trust and integrity by ensuring confidentiality is always applied to business and individual sensitive matters.RequirementsGCSE level Grade C or 4 in four or more subjects including English LanguageGerman Language would be an advantageAble to demonstrate highly developed secretarial and administration skills in a similar role/capacityGood effective communicator at all levelsAbility to use own initiativeFlexible approachAble to demonstrate ability to work effectively in a pressurised environmentOur OfferThe opportunity to work with an industry-leading manufacturer.Secure and progressive work environment.Competitive salary and benefits.Training and personal developmentAdditional informationHave we awoken your interest?
