Job Description

We are seeking a highly capable Executive Assistant to support the People Director at a leading Broadcast and Media organisation. This position is due to start ASAP and run for an initial 2-month period, with the potential to extend longer term.

The ideal candidate will be detail-focused, proactive, and bring either experience, exposure, or a strong interest in supporting an Executive Director responsible for the People or HR function within a large organisation.

In this role, you will play a vital part in keeping the Executive focused, organised, and fully prepared for each day. You will also be responsible for:

  • Proactive diary management for the People Director, with the ability to adapt quickly to changes.
  • Ensuring daily schedules are adhered to, and making adjustments as required. Coordinating travel arrangements, accommodation, event bookings, and handling expenses.
  • Acting as front-of-house support for the wider department: coordinating team requirements in a professional, timely, and positive manner. Preparing for meetings, liaising with guests, organising briefings, and booking rooms and equipment.
  • Scheduling, preparing content, taking minutes, and following up on action points for both routine leadership meetings and ad-hoc sessions as necessary.
  • Assisting the People Director and wider team with minor technical issues, escalating as needed.
  • Collaborating closely with Executive Assistants across the organisation.

Essential Experience & Skills:

  • Demonstrable experience in a similar role providing high-level EA support to senior leadership.
  • Experience of handling highly confidential and sensitive information, with a proven ability to demonstrate discretion. Confidentiality is imperative in this role.
  • Excellent diary management capabilities, with strong attention to detail.
  • Advanced proficiency in Microsoft Office, particularly PowerPoint, Word, and Excel.
  • Ability to think on your feet, react quickly to problems, and resolve them effectively.
  • Outstanding organisational abilities and a proactive mindset.
  • Strong interpersonal and communication skills, with confidence in dealing with stakeholders at all levels.
  • Positive, professional attitude and a team-oriented approach.
  • Reliable, punctual, and adaptable to changing circumstances.
